To implement access-based controls for the apps and to eliminate the need for repeatedly creating multiple access policies, Josys has launched its AI-powered Access Policy feature. Through this policy, the IT Admin can create app access policies based on the user's location, departments, and their respective job titles.
Note: This policy is available only for the Super Admins.
Steps to create Access Policy
Step 1: Navigate to the Access menu on the left and select Access Policy.
You can create an access policy in two ways:
1. Create an Access Group to assign policy
2. Create a policy recommended by AI
1. Create an Access Group
Step 1: Click Create Policy.
Step 2: In this step, you can create a user group. You can group users based on their Work Location, Department, and Job Title. To simplify the process, you can also use AI recommendations to automatically populate these fields.
- AI Suggested Access Groups: Displays recommended groups based on your existing data. You can select an access group from here, and the corresponding Department and Policy Name are autopopulated.
- Location: Select the location where this policy should be applied. If you select an AI-suggested access group, then this field will be autopopulated.
- Job Title: Select the Job Title for which you want to apply this policy.
- Policy Name: Enter a name for your access group.
Step 3: Click Next to proceed.
Step 4: Select AI-recommended apps or apps from the list you wish to allocate to the access group. Once done, click Create Policy.
Once created, the policy appears on the Access Policy screen, where you can view the policy details such as the Policy Name, Access Groups, Count of Members in the group, Assigned Apps, and Insights between defined policies and actual user app assignments.
You can also view details, edit, or delete it as needed.
Policy Details
This screen provides comprehensive information about the policy, enabling the IT Admin to track the app assignment status to the access group. The details include:
- Access Groups: This is a group of users to whom the policy is assigned.
- Apps to Provision: A list of apps to provision to the selected access groups.
- Timestamp: Date when the policy was last updated.
- User Profile/Member: A list of user profiles assigned to this policy, along with their respective job titles and the count of apps provisioned to them.
2. Create a policy recommended by AI
The AI Policies recommendation helps the IT Admin in creating policies efficiently by suggesting the necessary policy. This helps in saving their time by eliminating the need to enter details manually.
Click Create Policy corresponding to the Policy Name suggested by AI and follow the steps mentioned in Section 1.
